HR &ADMIN SUPERVISOR

 

Established since 2006 Bodia has started its activities by opening sheltering cocoon Spas in Siem Reap and Phnom Penh offering an authentic vision of relaxation in a modern designed Spa (www.bodia-spa.com). In order to guaranty the quality of its treatment, Bodia has created its own line of natural products made in Cambodia under the brand Bodia Cambodian Apothecary that promotes the traditional know-hows and uses local resources (www.bodia.com).

Nowadays, Bodia is a network of 7 Spas in Cambodia (4 locations in Phnom Penh & 3 locations in Siem Reap) dispensing quality treatments and offering therapist training to other spas, hotels and extending its services to franchise opening. Bodia products are made in our factory located in Phnom Penh and distributed in all official Bodia Spas and Stores, through a network of 50 local distributors and 1 online shop. 

In order to support and develop its operations, Bodia Spa is seeking a HR&ADMIN SUPERVISOR.

Duration: Initial contract length is 1 year

Location: Bodia Spa head office – Phnom Penh

Main contacts & team:

The HR&ADMIN supervisor will report and cooperate daily with:

  • Bodia General Manager
  • Bodia Spa Operation manager
  • All heads of supportive departments (Marketing, Sales, Accounting) 

Scope of work:

HR&ADMIN Supervisor is a key person in the recruitment and daily management of Bodia staff. He/She is mainly in charge of fulfilling the employment offers provided by all departments and is a central actor to guarantee to cohesion of the team.

 

Functions & Responsibilities

Human resources: 

  • RECRUITEMENT (First priority function of the HR Supervisor): Prepare job announcement, shortlist, interview, and select candidates. Manage recruitment budget (posting, sponsorship program…)
      • Ensure a proper welcome of new employees in the related team. Guarantee a warm welcome with clear training handover by related supervisor and manager.
      • Scale employee salary, benefit, compensation and appraisal
      • Coordinate staff meeting and training to facilitate internal communication.

    Documentation & Records:

      • Ensure proper record of employees in the system.
      • Make/renew employment contract, maintain employees updated file.
      • Coordinate NSSF declaration.
      • Maintain and communicate internal forms amongst employees (AL form, check medical receipt from employee after sick leave etc…)
      • Cooperate with Admin team to Update rules/policy/procedure and communicate amongst all staff.
      • Supervise and control that staff are respecting the company rules & policies.
      • Process VISA & Working permits with authorities for foreigner employees.
      • Facilitate payroll account opening for employees.
      • Occasionally Translation and interpretation 

    Office Management 

      • Control fixed assets
      • Oversee security, safety, constructions, building maintenance
      • Control on purchase stationary and other equipments 

    Public Relations

      • Help on Employee dispute resolution 
      • Organize events (Meeting, Conference, Training and Party) for the company

    Candidate Profile:

    • Minimum 2 to 3 years in HR functions.
    • Good at computer skills (Microsoft office, internet and e-mail, HR system is a plus)
    • Creative and independent
    • Strong leadership abilities
    • Able to work under pressure 
    • Excellent English skills
    • Good mobility (visit different Bodia location, recruitment campaigns in province)
    • Good interpersonal skills
    • Be a Business Unit partner 

    Benefit Package: 

    • Basic gross salary during COVID crisis: 350$ (Working Schedule: Mon-Friday) Increasing if we reopen activities full time then up to $550/$600 – Based on experience

Scope of work:

Retail Manager is in charge of all activities follow up and development related to retail stores.

1.Management and Operational responsibilities:

Retail Manager is in charge of ensuring proper sales performances across Bodia dedicated stores in Phnom Penh by closely controlling and correcting the actions of his sales team members.

 

  • Sales operations

 

  • Increase and monitor boutiques traffic by:
  • Implement partnership (commissioning) with tour agencies, tour guides, tuktuk drivers…
  • Create loyalty program for expats, local organization etc…
  • Combined promotion with Spa (ex: buy $?? And get free foot massage at Bodia Spa…)
  • Develop the boutique promotion towards Khmer public. (Facebook advertising, List down frequent clients and communicate with them…)
    • Branding image control and animation.

Constantly control the branding on displays and the selling places proper maintenance in the line of the brand values. 

Implement corrective actions and / or training to ensure a constant brand proper representation. Implement the modifications or promotions decided in cooperation with management

    • Stock level supervision

Follow up with stores supervisors about stock level optimization. 

    • Payment collection

Ensure an efficient and secured cash management control and collection and delivery to accounting team.

    • Performance monitoring

Monitor sales breakdown, promotion performances, clients’ statistics (foot flow, origin, requests, complains…) and establish improving strategies. Provide monthly analysis on outcomes of statistics.

 

  • Sales prospection / boutique opening

 

    • Boutique / franchise opening:

Stay constantly open to boutique opportunities. Seek for outstanding locations. Estimate selling potentials. Share with management and lead agreed projects.

    • Networking

Constantly update personal local network by attending events and meeting relevant industry people across the region

    • Keep track of boutiques premises related contracts and bills: rental, electricity, water, internet, expenses etc…

 

  • Budget management

 

    • Marketing & decoration

Maintain the identity and level of stores marketing while controlling promotion material budget (kakemonos, tags, decorations etc…)

    • Stores operational budget: 

Supervise and optimize retail stores expenses and implement solutions to maintain both image and the store profitability.

  1. Human Resources responsibilities:

By closely managing its team, the Retail Manager ensures that all tasks are securely handled to ensure the expected sales performance, staff security, satisfaction and compliance and above all, client information and satisfaction.

 

  • Recruitment: 

 

Retail manager should be in charge to follow up the recruitment process with Bodia’s admin department. Job description writing, recruitment process, interviews etc…

 

  • Training sales team members (store supervisor and sellers): 

 

Retail manager is in charge of training the selling staff regarding the products themselves but also the selling technics and customers management.

 

  • Admin & Bonus management: 

 

Keep administrative documentation up to date (job descriptions, flow chart, holidays or purchases request…). 

Bonus should be calculated every month by retail manager for each boutique under his/ her watch. He/she should also bring advices about the incentives policy to adjust it as best as possible to the company & sellers’ common benefit and motivation.

Candidate profile:

The qualified candidate will have the following experience;

  • Bachelor degree in sales & marketing.
  • At least 5 years of experience in related field of work.
  • Fluent in English (writing and speaking)
  • Experience of managing individuals and team with ability to motivate staff

Position: Spa Receptionist | Location: Phnom Penh & Siem Reap

Functions & responsibilities:

• Primary focus on operations of the front desk, telephone, sense of guest arrival/departure, and management and stock of main lobby retail area.
• Well versed in all areas of retail/service and available to answer any questions that guests may have and be able to give them extensive feedback and demonstration if applicable; with an ability to execute suggestive and add-on sales.

DUTIES

  • Keeping the Bodia Boutique tidy and clean including sweeping and mopping…etc
  • Informing customers about products, offering free testing, and assisting shoppers to find goods and products they are looking for.
  • Printing out the invoices when performing sales and exporting the selling reporting sheet form the system.
  • Being responsible for processing cash and Card Payments to ensure it matches with invoice.
  • Checking products display in the Boutique and making sure they are accurate with attaching price tags on each item
  • Checking tester, expiry date of products, lights, sales report, uniform and reporting to Supervisor /Manager
  • Working within established guidelines, rules and regulation.

DUTIES

SCOPE OF WORK:

The Bodia Sale Executive will assist the Whole Sales Manager on promoting and selling Bodia products. She/He will maintain and develop good relationship customers in order to increase sale and reach monthly target.

SALES OPERATIONS:

  • Branding Image Control: Constantly control the branding on displays. Implement corrective actions and / or training to ensure a constant brand proper representation. Implement the modification decided in cooperation with management.
  • Sales Follow Up: Follow up with partner’s representative about the current ordering from clients. Stock must be counted every week or received by email in order to push the customer to order frequently. Implement strategy to motivate re-ordering.
  • Payment Collection: The sales executive tracks invoices and payment within terms. He must report to management team and accounting about payment issues.
  • Clients’ Management: Documents tracking (invoice, stock list…), storage advices at client’s premises. Negotiate and treat open issues with clients. Such as special promotion or discount, nearly expire products return and / or replacement, loss and / or damage payments. Specific notice for consignment customer: establish contract for every new consignment customer, check stock on hand and close balance monthly.

Position: Therapist | Location: Phnom Penh​ & Siem Reap

Job Description:    

Spa Therapist is responsible for the delivery of an efficient, friendly and results-driven spa experience and one who can exhibit an excellent and consistent level of customer service. You are the ‘spa experience’ that guests will have as they entrust themselves in your capable and expert hands, so you will be expected to execute treatments, engage guests in consultation and repartee, while making them feel as if they have entered a completely different environment from the one they came from.

Functions & responsibilities:

• Primary focus on sense of guest arrival/departure, hands-on treatment, cleanliness, room ambiance, and overall spa experience. Empathetic, friendly, and able to make people feel beautiful inside and out.
• Establish a long term relationship with customers.
• Can provide expertise in all areas of retail and treatments. Able and available to answer any questions that guests may have and give them extensive feedback and demonstration if applicable; with an ability to execute suggestive and add-on sales.
• Records all service/product items used.
• Takes charge of assigned room retail inventory.
• Takes control of guest booking once guest is endorsed by Reception.
• Coordinates the maintenance schedule of treatment room.
• Monitors, maintains and re-stocks assigned room with products, supplies, disposables and work tools.
• Participates in monthly meeting with Spa Department Heads on club performance, staff relations, training, productivity, equipment and facility maintenance, inventory, stocking and control.
• Maintains a commitment to the company vision and the “spirit” of the organization.
• Monitors personal performance tracking reports like attendance, training sessions attended, commission/incentives earned, and other work-related reports required.
• Communicates clearly and directly with supervisor and colleagues concerning performance expectations, productivity, and accountability within the team. Maintains team preparedness by constantly participating in training activities.
• The position of Therapist – Aesthetician or Masseuse is dynamic but routine. He/she is essential at all hours of spa operations unless operational requirements suggest otherwise.
